C-Suite Executive Assistant

At the Jensten Group, we are looking for a highly organised and proactive Executive Assistant to support our CEO, COO, CFO, and Executive Committee.
This is a pivotal role requiring exceptional administrative skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. Jensten has recently entered a new chapter with the backing of Bain Capital (subject to FCA approval), a leading global private investment firm. This partnership marks a significant milestone in our journey, enabling us to accelerate growth, invest in technology and operations, and expand our footprint across the UK.
You’ll be confident managing complex diaries, coordinating meetings and travel, and handling sensitive correspondence. You’ll also play a key role in preparing reports, presentations, and governance materials, ensuring follow-up actions are completed.
The role is based in our central London office (Lloyds Avenue, EC3N 3AA) at least four days a week, with flexibility to work remotely one day per week.
Some key responsibilities include:
- Manage complex diaries for the CEO, COO, and CFO, including scheduling meetings, travel, and accommodation.
- Handle incoming enquiries and correspondence for the Executive Committee, responding or escalating as appropriate.
- Prepare high-quality documents, reports, presentations, and briefing materials.
- Support governance activities, including minute-taking and preparing/distributing meeting packs.
- Coordinate and support internal events such as Away Days, office events, and Group Roadshows.
- Identify opportunities to streamline executive support processes, including the use of AI tools and automation to improve efficiency and reduce manual tasks.
- Conduct research and present findings on topics provided by the Executive Committee.
- Liaise with suppliers and contractors and support the wider Facilities team with office coordination.
- Follow up on meeting actions and contribute to engagement initiatives across the Group.
About you:
We’re looking for someone who is detail-oriented, proactive, and comfortable supporting events, liaising with suppliers, and contributing to business projects and engagement initiatives across the Group. You will also have:
- Proven experience as an Executive Assistant, ideally supporting C-suite executives in a fast-paced, professional environment.
- Strong relationship-building and communication skills, with the ability to engage confidently across all levels of the business.
- A proactive and professional approach, with a strong drive to deliver results and take ownership of tasks.
- Excellent problem-solving and time management abilities, with the flexibility to adapt to changing priorities.
- Solid experience in business administration and contract management.
- A foundational understanding of the insurance industry and facilities management is desirable but not essential.
- High attention to detail and accuracy in preparing documents, reports, and governance materials.
- Comfort working independently and collaboratively, with a positive and solutions-focused mindset.
- Discretion and professionalism when handling sensitive information and communications.
